Find the right information without hunting for it

The right template and the latest version live in people’s inboxes.

You will recognise it
  1. The right template is buried in a colleague’s inbox.
  2. Two versions of the same contract circulate at once.
  3. A position already taken is redone because no one can find it.

Information scatters along the way.

On an engagement

2022-2023 · Food industry mid-size company, France and Maghreb · 1 lawyer · 4 countries

After several acquisitions, each entity had kept its own filing: about 1,100 contracts spread across four systems, with no calendar of deadlines. Finance asked which contracts were expiring, procurement which ones renewed on their own, and the lawyer rebuilt the answer every time. An important supplier contract renewed tacitly: the notice period had passed.

We built a single register in SharePoint: parties, value, expiry, notice, owner, with alerts at 90, 60 and 30 days and a Power BI view for the CFO. No CLM was bought: the volume did not justify it. In the first financial year, 14 tacit renewals were avoided: €87k of commitments that would have renewed without a decision.

What changes

The right template, the latest version, the position already taken: the information exists, scattered across inboxes, shared folders and people’s memory. It should sit in one place, kept up to date.

What we put in place

A shared repository of contracts, templates and positions, organised the way the team searches.
